Is It Time to Look for a New Vendor?

In the daily operations of your office, how much work depends on an outside vendor? Most organizations cannot function entirely independently, and a good amount of the work that is completed by your office may be handled by whoever you hired for that specific process. In the healthcare industry especially, many offices require outside help from outside billing vendors, EHR software, network services vendors, the list goes on. That’s why it’s so important to carefully select the right vendor for every job. Think about your current vendors, are they still working for you, or is it time to assess some new options?

Perhaps you like the current vendor you’re using for one aspect of your office; reach out to them and see what else they have to offer. Be proactive and see if they could be doing more for your business. Consolidating your daily processes under one vendor can save you a lot of time and hassle. For example, if you have a good relationship with your Network Service Vendor, reach out to them and see if they can handle your EHR needs as well. They’ll be eager to maintain that relationship with you, and will help you find the best options for your office.

Maybe you’re feeling a little bit overwhelmed. Think about the day-to-day operations of your work. If you’ve used the same vendors for years, your current setup may start to feel outdated, inefficient, or just stress-inducing. Think of it this way, you may be an excellent doctor. But maybe you’re just not as comfortable with hiring the correct staff, implementing technology for the office, assessing workflow, or selecting the best billing or EHR software for their specific needs. You’ll need to make sure you’re hiring the best outside vendors for these jobs. Wouldn’t it be easier if you could find just one vendor who will work with you to help fulfill all your needs?

When selecting the right vendors for the right jobs, there are a lot of things to consider. Often times, we tend to only think about cost and gravitate towards the cheapest option. However, is the cheapest vendor going to value your relationship? Your time? Will they give you one-on-one support and give you the highest quality service? You need to pick a vendor with the best value–one who will give you the best service for the listed price. Choosing a low-quality vendor could end up hurting your business and costing you more money in the long run. Plus, it’s important to think about the return you’re getting on your investment. If you make a wiser initial investment, you’re more likely to see that money come back quickly. For example, if you spend a bit more on a high-quality clearinghouse, you’ll get your claims sent out faster and in turn, receive your payments faster.

Especially in healthcare, choosing new vendors requires data migration, ensuring that all of your information is safe, new product training, and many other steps to guarantee a smooth transition. You’ll want to make sure your new vendor can take care of all of this for you so you’re not left alone in the process. This may be easier to do with a vendor you’ve already used and built a relationship with.
